Do the assistants have great communication skills?

When you sign up you will be asked to fill out a form to specify the skills you require your assistants to have. This way we can find a great match for you.

Are the assistants fluent in English?

Our assistants have lived or studied in the US, they have neutral English accents.

How do you manage confidentiality?

Before hiring all applicants go through an extensive background check so all of our assistants are trustworthy.

I will change my plan to full time in the following months, will my assistant be available?

We cannot guarantee your assistant will be available as he/she has other clients but we will do our best to arrange your assistant’s workload to make sure she is available for you.

How is the quality of the phone line?

All our phone lines are VOIP. We have a great internet connection and backups to assure the quality of your calls.

Are there any hidden or additional costs in hiring your virtual assistants?

No. Your monthly fee covers the employee’s salary, benefits, vacation time, bonuses, office space and equipment. It includes scanning, emailing, data input, etc., and unlimited calls throughout the US and Canada.

Do you have good internet connection?

Yes we have different dedicated internet connections and backups.

I want to know more about my new assistant

Our bilingual English/Spanish virtual assistants are highly skilled in different areas like administration, marketing, law, etc. depending on your needs. They can be reached from 8:00 a.m. to 5:00 p.m. or 9:00 a.m. to 6:00 p.m. MT as you preferred by using the internet, your phone, and many other ways to support your needs, tasks, and projects.

Where are you located?

Backup Office is based in Miami, FL. But most of our assistants are located in Central America. They have either lived or studied in the U.S.

How do you secure my information?

Your new assistant works in an office with many security advantages:

  • Each assistant is carefully screened and must pass a background check.
  • Our non-disclosure agreement assures you we will not share any information with anyone outside of our company.
  • No one outside of our office has access to your information (files, documents, emails, contacts, etc.). We use state of the art security software to prevent spyware or computer viruses. Our office does not store any important information on our computers. Instead confidential information is stored in our secured network.
  • Any printed materials are shredded before being sent for recycling.
  • For extra security, we also suggest sharing passwords with our assistants through programs like LastPass.
Do you have a guarantee?

For sure! If you are not satisfied with the service, you can cancel anytime.

Is there a contract?

There is no contract. You are billed month-to-month and there is no cancellation fee or penalty.

Are the VA’s in an office environment?

Yes, your dedicated assistant has a completely equipped work station.

What if I need more hours?

If you go over your limit you can upgrade your plan at anytime. Just ask your Virtual Assistant for assistance.

How do I know what to delegate?

Your assistant will help you how to start delegating tasks.

How are my hours tracked?

We can send you weekly reports with all of the activities your assistant has worked on and what tasks are pending. Or feel free to ask us for a report at any time. If you are running out of time we will notify you well ahead of that.

What is their education level?

Your dedicated virtual assistant will have studied at university in different backgrounds like marketing, finance, business, public relations, programming, design, and many others.

Do they have any references?

Can I see their resume?

We will send you a couple mini bios for your review. Additionally you can interview the assistant before you begin if you’d like

Can my VA work with my project management tools or other specialized software?

All of the assistants have experience using Microsoft Office and most are proficient in CRMs such as Basecamp, Asana, Trello, etc. Depending on your requirements, some assistants can use accounting software, design software, programming environments, CMSs, etc. Our VAs are more than happy to assist if you are able to provide instruction. Do my hours expire?

Yes, your hours expire and do not roll over to the next billing period. They must be used during the 30-days that your contract includes. We suggest using them at a rate of 1 hour/day to ensure full use of your purchased time.

Can we make phone calls to the US and Canada?

Yes, all incoming and outgoing calls to US and Canada are included.

How do I communicate with my assistant?

There are many was to communicate ex. via phone, email, Skype, instant messaging and many other forms.

Do I get a dedicated assistant?

Yes, each client is assigned one fully bilingual English/Spanish virtual assistant, hand-picked from a pool of reliable, trustworthy, and experienced professionals. If your virtual assistant is on vacation or sick, his/her supervisor will be there to assist you.

Can my Virtual Assistant make purchases on my behalf?

Sure! Your Virtual Assistant can make purchases, place orders, pay bills and schedule payments safely and securely. To share credit card information, passwords, and other sensitive data, simply have your VA collect your information over the phone. This way, we can ensure your information remains safe. Can my Virtual Assistant take calls on my behalf?

Yes, every Virtual Assistant has a dedicated U.S phone number .

Will my VA be working on holidays?

Backup Offce observes major U.S. holidays. Your assistant will be offline and spending quality time with family and friends on these occasions during the year:

What task can my Virtual Assistant perform?

Tasks can be of any type that is decent and legal, which do not require a physical presence & can be executed using a computer.

How can I give feedback about my virtual assistant work?

What if I want a different assistant?

No problem. Just email us to info@backupoffice.co and we will pair you with a Virtual Assistant that is a better fit.

Can I cancel anytime?

Of course. Contact info@backupoffice.co prior to your next billing cycle and we’ll take care of your request. If you have already been billed, your cancellation request will not take effect until the following month. Unfortunately, we do not offer prorated refunds or cancellations for unused time.

Can my VA keep my inbox organized?

They can! Delegating your inbox to your VA to read, send, and delete messages on your behalf is a great way to stay on top of email and keep your inbox tidy.

Can my VA edit and format a presentation for me?

They sure can. Your VA can use Google Presentations to format and edit personal or business presentations with your provided content, images and detailed instructions.
